Who I am
mackenzie.earth is operated by Suzi Mackenzie, a coach and disability consultant based in Bristol, UK. I am an Associate Certified Coach (ACC) accredited by the International Coaching Federation (ICF) and accountable to the ICF code of ethics. I am registered with the Information Commissioner’s Office (ICO) as a data controller.

What information I collect and why
When you visit this website
I collect standard website usage data through cookies and analytics tools. This includes pages visited, time on site, browser type, and approximate location. This helps me understand how people use the site and improve it.
When you contact me
When you fill in the contact form or email me, I collect your name, email address, and any information you choose to share. I use this to respond to your enquiry and arrange an exploratory conversation if appropriate.
When you work with me as a coaching client
During a coaching relationship, I may collect and hold:
- Your name, contact details, and any access requirements you share with me
- Notes from our coaching sessions, including themes discussed and actions agreed
- The coaching contract/agreement we put in place together
- Any materials you share with me as part of our work (drawings, written reflections, etc.)
- Payment information (see Payment section below)
This information is necessary to provide the coaching service we have agreed and to meet my professional obligations.
When you attend a workshop or consultancy session
If I work with you through Business Disability Forum, Freeney Williams, or another partner organisation, your data is primarily held by that organisation under their own privacy policy. I may hold limited information (such as your name and role) in my own records for the purpose of delivering the session.
Lawful basis for processing your data
Under UK GDPR, I am required to have a lawful basis for processing your personal data. The bases I rely on are:
- Website analytics: Legitimate interest (understanding how people use the site)
- Responding to enquiries: Consent (you chose to contact me) and legitimate interest (responding to your enquiry)
- Providing coaching services: Contract (we have a coaching agreement in place) and legitimate interest (meeting professional standards)
- Delivering workshops through partners: Legitimate interest (delivering the agreed service)
- Financial records: Legal obligation (HMRC requirements)
Coaching confidentiality
Coaching conversations are confidential. What you share in our sessions stays between us, with the following exceptions:
- Professional supervision. As part of maintaining professional standards, I discuss my coaching practice in a supervision group. When I do this, I anonymise your information so you cannot be identified. This is a requirement of my ICF accreditation and is standard practice across the coaching profession.
- Safeguarding. If I become aware of a serious risk of harm to you or someone else, I may need to share information with appropriate authorities. I would aim to discuss this with you first wherever possible.
- Legal obligation. If required by law to disclose information.
These exceptions align with the ICF code of ethics, which you can read at coachingfederation.org/ethics.
How I store and protect your data
- Coaching notes are stored securely on password-protected devices and/or in encrypted cloud storage
- I do not store your information on paper unless you have provided physical materials as part of our coaching work, in which case these are stored securely
- I use secure, password-protected email for all communication
- I take appropriate technical and organisational measures to protect your personal data from loss, misuse, or unauthorised access
How long I keep your data
- Website enquiries: I retain your contact details for up to 12 months after our last communication, unless we enter into a coaching relationship
- Coaching records: I retain coaching notes and agreements for 6 years after the coaching relationship ends, after which they are securely deleted
- Financial records: I retain payment records for 6 years as required by HMRC
- Website analytics: Google Analytics data is retained according to Google’s data retention settings
You can request deletion of your data at any time (see Your Rights below), subject to any legal obligations I have to retain certain records.
Third parties who may process your data
I do not sell your data to anyone. I do share data with the following third parties as part of running my practice:
- Zoom or Microsoft Teams: Coaching sessions are conducted online. Their privacy policies are available at zoom.us/privacy and privacy.microsoft.com. Session recordings are not made unless you specifically request and consent to this.
- Google Analytics: I use Google Analytics to understand how people use this website. Google’s privacy policy is available at google.com/policies/privacy.
- Bank transfer: Payments are made by bank transfer. I provide you with my bank details for this purpose. I do not collect or store your bank details.
- Gmail: Email communication is handled through Google’s Gmail service. Google’s privacy policy is available at google.com/policies/privacy.
- WordPress/Divi: This website is built on WordPress using the Divi theme, hosted by Freethought Internet Limited (freethought.uk).
Use of artificial intelligence
I do not use AI tools in my coaching sessions or in any direct work with clients. I may use AI tools for my own research, planning, and business administration. No client-identifiable data is entered into any AI tool. If my use of AI changes in future, this policy will be updated.
Cookies
Cookies are small text files placed on your device to collect standard internet log information and visitor behaviour information.

- Essential cookies: Authentication, security, and cookie consent preferences. These are necessary for the website to function.
- Analytics cookies: Google Analytics uses cookies to collect information about how visitors use this site. This information is used to compile reports and help improve the site. - Data portability request your data in a commonly used format.
- Object to my processing of your data where I rely on legitimate interest.
- Withdraw consent where I process your data based on consent, you can withdraw that consent at any time.
